Volunteering
Thank you for volunteering! We would not be able to have a meet without parents volunteering. Did you know that it takes over 80 volunteers to run a meet?
REMINDER:
- Each competitive swim team family is required to sign up for at least 4 volunteer positions. In addition, please make sure you sign-in at the meet for your volunteer role. A swim council member will be at the front gate to assist you. If you have to change a volunteer position, please email the swim council at [email protected].

6 & Under parents: If swimming on the swim team (competitive team) please keep in mind that you typically volunteer for the first half only. Those of you that volunteer on the pool deck for the first half of the meet need to plan to stay through backstroke events.
7-8 parents: If swimming on the swim team (competitive team) and your child swims in freestyle & back stroke, the same rule as - BUT - please make sure your 7-8 child is not in the Freestyle Relay which is at the end of the meet. It is very above applies. It is disappointing to others scheduled for the relay if one of the swimmers is missing.
Volunteer Jobs Descriptions
Computer Operator
- Responsible for entering times and judges finish order for each heat using the Meet Maestro system. This person is required to have Meet Maestro Training.
Bullpen Coordinator
- Checks in and organizes the swimmers who are in their age group bullpen. Confirms relays and individual events of swimmers with the official heat sheet. "Marks up swimmers" heat & lane if parent has not done completed this process.
Bullpen Age Group Parent - for each age group per meet: 6 & U, 8 & U, 10 & U, 12&U
- Responsible for getting swimmers to the lineup area before their event and keep them together after the event. A new person can do this with a little training. Job for new or experienced parents.
Relay Helpers
- Assist Bullpen Parents with lineup of relays and getting swimmers to their appropriate area for their events. Job for new or experienced parents.
Clerk/On Deck Manager/Swimmer Line Up at blocks
- Final checks of the swimmers behind the blocks using heat sheets. Requires someone with experience with swim meets.
Finish Judge / Judge
- Responsible for determining the finishing order of each heat (will work with other teams finish judge). Requires some experience with swim meets.
Finish Judge Recorder/Judge Scribe
- Home Meets Only - Records reported finish order agreed upon by finish judges. Can be someone new or experienced volunteer.
Timers
- Records time of swimmer in lane they are assigned. Job for new or experienced parents.
Runner
- Responsible for picking up the finish judge form and records times for each lane then hands form to computer operator. May be asked to get stop watch times for back-up confirmation with system. Good job for new or experienced volunteer.
Event Board Flipper
- Home Meets Only - Flip the event number cards and event name cards on the event pole, 2 poles (upper and lower). Job for new or experienced volunteer.
Meet Set-Up
- Home Meets Only - Will help prepare the pool area for home meet, you will need to be at the pool by 3:30pm. Do not leave until you check in with a swim council member. Job is great for new parents.
Clean-Up
- Home Meets Only - Specific duties that need to be performed at the close of each home meet in order to have the pool ready for the next day. Do not leave until you have checked in with a swim council member. Job is Good for new parents.
Concession Worker
- Home Meets Only - Helps serve food in the concession area. Good job for new parents.
Starter Helper
- Home Meets Only - Helps the League official with resetting the starter for each event.
Ribbon Labeler
- Pulls and labels swimmer ribbons from meet results on Tuesday night. This volunteer position is held on WEDNESDAY mornings at 10:00am at the back pavilion of the pool.
